Equal Opportunities Policy
The organising Committee of the Weymouth & District Photographic Society state that there is no discrimination on the basis of ability, age, gender, religion, sex, disability or racial origin. All persons are welcomed at the Society and to assist in it's organisation within the broadest umbrella interest of photography. Although the Society does run a series of competitive events these are structured in order to provide categories for the novice and expert alike and therefore to be inclusive rather than exclusive and elitist.
Data Protection
In accordance with the provisions of the Data Protection Act the information supplied to the Weymouth & District Photographic Society may be held and used by the Society for the purposes of business, administration and statistical analysis. We will never sell or transfer your details to third parties for marketing purposes. Entrants in Society competitions should note that winners names will be included in WDPS publicity.
Document retention policy
The DPA also requires data holders to act responsibly and not retain personal data longer than is necessary. At the Committee meeting on 24 Sept 2008 it was agreed the general retention period would be three years:-
- Minutes etc – Retain for three years. Any attached reports to the meting to also be retained. Notes made by the Secretary to be retained only until covering minutes are approved.
- General correspondence – hold for three years or until issue resolved, for example reminder letters to speakers need no retention beyond the event.
- Programme list 0retain for five years (WCPF insurance need)
- Disposal – to be shredded or burnt.
